I want to raise such a topic as a corporate library. How to organize it, how to keep track of books and not miss interesting news.

Tidying up the office

Recently, sorting out a large pile of documents and other work papers, I got so carried away that I decided to put the “paper” order in the entire office. We have places where papers live and live for several years, and no one admits what it is and why it lives here.

During such a raid, it was discovered that we had a huge number of books located throughout the office. Since many guys in the company regularly expand their knowledge in different areas, we buy books often. A lot of them have accumulated, and they lie everywhere: on the windowsills, in whole piles on desktops and cabinets. Some craftsmen put books under their monitors (there are also such book tyrants).

But we are not completely hopeless in this regard - we have counted books for a long time (239 pieces), and rewritten them in Google Docs. True, there is no organization of a corporate library. The same books are bought by different departments, there is no responsible person who monitors the release of new books, there is no single policy for the acquisition of professional literature.

We came to the conclusion that it is important and necessary to understand and properly organize the library.

Corporate library: first steps

Where to start?

Just putting a bunch of books on the shelves is not an option; finding the right book will be very problematic. Therefore, they need to be disassembled and systematized. At the same time, number each book and start keeping a journal of available books. Google Docs will come to the rescue. Work for a maximum of 1 hour, but the systematization will facilitate your work in the future.

There are other ways to organize your library. For example, systematization in Evernote or in services such as GoodReads. So you can not only systematize your entire library with data storage on the Web, but also leave reviews about the books you have read, find interesting books to read from your friends.

We coped with the systematization, now we need to decide where the books will live comfortably. Of course, books need a bookcase. It is desirable that the cabinet was with transparent doors. And be sure to take care of the lock, because without a lock, books can be stolen or someone will take them away to read for an indefinite period.

In the closet, it is better to arrange books by topic, and inside each topic - in alphabetical order by author or title. This way you can easily find any book. (Many arrange books by color, this is an interesting solution for the interior, but not for the organization of the library).

Registration and accounting in the corporate library

Keep a journal for issuing and returning books. On the first pages, write the rules for using the library, attach a sheet of familiarization of all employees with these rules (under signature).

The rules are very simple. First, if a book is lost, the reader will either have to pay for the lost book or buy and return the same book to the library. Second, set a nominal return date for the books. For example, 14 days.

It is convenient to keep a journal both in paper form and electronically. In the paper version, you have irrefutable evidence that the book was actually taken - the signature of the person who took it to read. In electronic form, all other team members can see who has the book, and find out approximately how long it is occupied.

If you delve into the bureaucracy, then the organization should issue an order to appoint a specific person as a librarian. This person will be responsible for lending books to readers, maintaining a lending and return journal, planning book purchases, and auditing your library.

How the library solves the problems of companies

The project has become one of the most high-profile "wow factors" of the company... now at any meetings of employees throughout Russia, many people thank for the library.

At MTS, we have always set a course for the development of employees. Our corporate university is 12 years old this year. We understood that you can't conduct trainings in large numbers - Russia is big until the coach arrives ... And books are new approaches, current trends in the world. So we started focusing on them.

We had a paper library. But, as in the case of training, not all employees could use it, because you can’t put a bookcase in every office. We began to think about how to keep up with the times so that employees can download and read books from smartphones, tablets, laptops anywhere. We decided to try the MIF electronic library.

The most interesting story is not about a book, but about an electronic library. The project has become one of the most high-profile "wow factors" of the company. We did not expect this, we launched “to try” and “how it goes”.

And now, at any meetings of employees throughout Russia, many thank you for the library. Although we do a lot in terms of training, development, motivational courses, the library has become a personal flexible tool for people.

This is an opportunity to create more space for communication… Many share recommendations, refer to books from the library. All this forms a common information field in the company.

Thought first. The library primarily affects the loyalty of employees. This is an added bonus that doesn't cost as much, but gives a good result. Especially at the beginning you get a "wow effect". I remember that 2 years ago, when we just launched the library, many colleagues approached me personally, wrote letters of gratitude for the opportunity to finally read books for free and unlimited, and not spend a substantial amount of money every month on their favorite publications.

Secondly, it is an opportunity to create more space for communication and contact between different employees. A kind of networking 🙂 Many share recommendations, refer to books from the library. All this forms and levels the general information field in the company.

The third thought is about the culture and people we want to see in our company. If we want to have employees who develop and keep up with the latest, then we create conditions for them that allow them to grow.

According to the results of the survey “Optimization of the company's costs for employee training. How to save the budget?, held this summer by MyBook with the support of the non-profit partnership Labor Market Experts, the vast majority of respondents (83%) agree that employee education is the main tool for increasing the professional level, motivation and loyalty of staff. In addition, 28% of respondents believe that the creation of an electronic corporate library (ECL) is one of the most economical and convenient tools for self-training of employees at any time convenient for them.

Earlier, at the initiative of the publishing house "Mann, Ivanov and Ferber" (MIF) and with the support of the NP "Experts of the Labor Market", a survey was conducted "To be or not to be a corporate library?". Its results also showed the interest in the ECP on the part of the participants in this study. The majority of respondents to this survey agreed with the necessity and importance of the corporate library both for the personal effectiveness of employees and for strengthening the corporate culture in general. So, almost 80% of the experts who took part in the study named increasing the motivation of staff for professional development as the main goal of creating a corporate "reading room", and almost 60% identified the second priority goal - increasing the involvement of employees in corporate life. We should not forget about the practical part of the question, because books, especially professional and business literature, help employees in the preparation and successful implementation of various business projects: 67% of the survey respondents agree with this.

It is interesting to note that 99% of the participants in this survey confirmed that they love to read. And only 1% of respondents said that they do not like to read, and they do it only "because they have to." It also turned out that in the age of the general transition of people from paper publications to reading e-books, many, nevertheless, continue to buy printed publications in bookstores. In the study mentioned above, there were about 60% of such respondents. At the same time, none of the survey participants borrow books from the library, but some of them (more precisely, 22%) have been using e-books for a long time.

Here are some more results of this study: 57% of respondents believe that the corporate library should consist of reference literature, 56% emphasize the need for business literature in it. Many respondents also noted the important role of scientific, educational and technical literature (48, 44 and 43%, respectively).

There are tools for creating digital libraries. Relevant services are offered by MyBook, MIF, Alpina. And the Xerox company, for example, in June, 2015 announced that its "Full-text electronic library" (PEB) focused on the Russian market is updated to version 3.0. According to the Russian representative office of the company, to date, a number of projects have already been implemented to integrate the PES in educational and cultural institutions, as well as in some Russian companies and government agencies. Moreover, as the Xerox representative office explained, “at the time the solution was launched, the digital library market was not in its infancy and showed growth that continues to this day.”

Among those companies that use the capabilities of EKB today is, for example, Kaspersky Lab. “We have been choosing and comparing electronic design bureau contractors for a long time,” said Irina Lysenko, specialist in training and development of personnel at this company. - We considered, in particular, MyBook - they really have a very large library, but the quality content that is interesting to us is quite difficult to find just because of such a large volume. As a result, we opted for the MIF library, which presents very interesting and well-known business authors in a convenient format. We are also collaborating with Alpina, which is now creating an application in English, which will allow us to connect our colleagues from other regions to the library, which is very important for us.”

Daria Kertsenbaum, Head of Marketing Communications at ABBYY, shared her experience: “Currently, we are negotiating with several publishers to connect the digital library. The complexity of the choice lies in the fact that we need not only common business literature, we also need quite rare publications for developers, linguists, which well-known publishers do not have. We buy some of these rare books separately for our employees.”

At the same time, we are not yet talking about the mass distribution of electronic corporate libraries (ECL) in our country. The question arises - why?

“The main reason is the ignorance of the heads of enterprises and organizations about the capabilities of these libraries,” says Anton Gaidienko, head of the “Corporate Library” direction of the MyBook company, whose EKB solutions, according to him, are used by several dozen enterprises today. - But they do not just give employees access to a variety of new and relevant books that allow them to improve their professional level. They also allow heads of departments to be aware of what, where, when and how much time their employees read. Employees themselves can exchange opinions and impressions about what they have read with their colleagues, mark quotes they like in what they have read, and so on. In addition, managers can recommend certain books to their subordinates.

In the publishing house MIF mentioned above, there are three main arguments in favor of creating a corporate library:

  • books - the most inexpensive way to train and develop employees on the job;
  • the presence of a corporate library is an additional opportunity to attract development-oriented employees to the company;
  • organizing a library and tracking the results of its use is easy.

Of course, it cannot be said that if a company does not invest in an electronic corporate library, then it has no future. However, the presence of such a library is a good "carrot" for those employees who seek to develop and generate new ideas for business development. Well, or at least be aware of ideas of this kind generated by others.

“A project is an idea (task, problem) and the necessary means of its implementation in order to achieve the desired economic, technical, technological or organizational result. The salient features of the project are:

1) Focus on achieving the outlined goals. A clear statement of the final goal of the project contributes to its successful implementation, subject to the correct formulation of intermediate interdependent goals. The implementation of the project means the consistent achievement of goals from the lowest level to the highest, that is, to the achievement of the final goal.

2) Coordinated execution of interdependent actions. Some actions must be performed in parallel, others - sequentially, and any violation of the order of their execution can jeopardize the project as a whole.

3) Limited in time. Projects are carried out for a certain period of time (as a rule, it is determined in advance), as clearly as possible, outlining the beginning and end. The key to the successful implementation of the project is the optimal distribution of efforts and resources over time, which is ensured by putting in order the sequence of work and activities within the boundaries of the project activity. Unlike a production system, a project is a one-time activity, not a cyclical one. However, the design approach is increasingly being applied to continuous production as well. For example, there are projects for the fulfillment of orders, where contractual terms of supply are provided.

4) Uniqueness. Each project has distinctive features and characteristics. There are no identical projects, even if they involve the implementation of the same activities.

In a number of industries, such as the aerospace or defense industry, the objects being created are so complex that work on them is carried out not as part of projects, but as part of Programs, which can be defined as a set of projects or a project that is distinguished by the particular complexity of the products being created and / or methods of managing its implementation. With this approach, the term "project" is usually associated with relatively short-term goals.

Thus, “a corporate library project is a joint implementation of an idea (task, problem) in order to achieve the desired result in the economic, technical, technological or organizational sphere by the library association. At the same time, “by the Corporate Library Network (system) we mean the voluntary association of a number of administratively and economically independent libraries (possibly also information bodies or services) for the joint solution of their functional tasks, including the joint creation and use of library and information resources” .

A corporation is an association, a union of enterprises or individual entrepreneurs (as a rule, based on private group interests), one of the main forms of entrepreneurship.

The unification in the corporate community of previously mutually independent organizations gives rise to a number of organizational and psychological problems:

1. The corporate network is a single system that is subject to well-defined rules. This means that its participants cease to be completely independent of each other, and also that they need to be responsible to the entire corporate community for the implementation of decisions related to ensuring its creation, construction, operation and development;

2. The leaders of many organizations that are part of the corporation find it rather difficult to change from "autonomous" working conditions to "cooperative" ones;

3. The initial level of libraries in terms of the state of the material and technical base, the level of staff training, etc. is very heterogeneous, which makes it difficult to work.

In connection with the foregoing, it is necessary to formulate a number of rather general, but extremely important theses, without taking into account which it is impossible to successfully create and operate corporate library and information systems (CLIS):

1. The entry of any library into a corporation must be voluntary. The admission of new members must be accompanied by a formal obligation of the library management to comply with the basic organizational and technological principles of its construction and operation.

2. The corporation should not interfere in the administrative and economic activities of its member libraries.

3. KBIS is created, developed and functions as a single automated information and library system according to the rules defined by the state standards of the Russian Federation, as well as the organizational, technological, technical and planning documentation in force in the corporation.

4. Software, technical, technological, linguistic and informational means of providing CBIS as a whole and its individual nodes must comply with a set of requirements for modern automated library and information systems.

5. Each CBIS should systematically organize the work of a centralized system of staff development.

6. Each CBIS should be headed by a leader capable of competently setting the direction of work for the entire system.

At present, in Russia there is a fairly large number of various library associations. The result of their activities are library corporate projects. In this section, we present several examples of these projects.

Perhaps the most famous and widely used by readers is the international project "Virtual Reference and Information Service of Public Libraries". The main goal of the project is to reform the system of reference and information services for users of public libraries, taking into account the requirements of the emerging Information Society in the country and ongoing socio-political and economic transformations. "Virtual Reference and Information Service of Public Libraries (VSIS PB)" was opened in October 2003 on the basis of the free reference and information service "Virtual Reference", which for 3 years was hosted on the website of the Centralized Library System "Kievskaya" (Moscow). The popularity of "Virtual Help" among Internet users prompted some other libraries to create similar services. Since 2004, the Virtual Reference Service “Ask a Bibliographer” has been launched on the website of the National Library of Russia. At the moment, the Krasnoyarsk Regional Scientific Library, the Kemerovo and Sverdlovsk Regional Universal Scientific Libraries (OUNB), the Saratov Central Library Library and the Tomsk MIBS simultaneously maintain their own virtual reference service and are participants in a corporate project, successfully delimiting the topics of questions.

The structure of the VSIS PB is represented by specialists of the Interregional Association of Business Libraries - coordinators and organizers of the Information and operators-specialists of 20 libraries in Russia and 3 libraries of the CIS countries: Nikolaev Central Library. M.L. Kropivnitsky (Ukraine), Kramatorsk Central City Library (Ukraine), Ust-Kamenogorsk Central Library Library (Kazakhstan).

The libraries that took part in the project were selected taking into account a number of conditions: having their own website, the presence of materials on it that are of interest to a wide range of Internet users, a clear policy to expand their presence on the Web, experience in working with virtual users, etc.

All VSIS PB operators underwent special training during the training seminar “Methodology of virtual reference and bibliographic services within the framework of a corporate project” organized by IADB and received a certificate for the right to work as operators.

VSIS PB (or "Virtual Help") has a number of features that distinguish it from similar foreign virtual services. Perhaps the main one is the public nature of the questions asked. All questions immediately after they are asked appear on the corresponding Help page, and answers appear there after some time (usually within 1 day). Thus, the database, which includes, as of April 2006, more than 24,000 questions received from 300 cities of Russia and 50 countries of the world, and 24,000 answers to them, is open not only to participating libraries, but also to users accessing the “Library. ru". This allows them to often find answers to their queries simply by taking advantage of existing work on a similar topic.

The joint work revealed great prospects for the development of the service, since working in corporate mode allowed us to work more efficiently with the questions received.

Entrance to VSIS PB is carried out both from the Library.ru portal and from the websites of all participating libraries. To do this, the sites are placed "buttons" "Virtual Help Operator", identifying them as participants of the VSIS PB. In addition, the "Virtual Help" banner is offered for placement on the sites of other libraries, which will provide users of these sites with reference and information services in the event that there is no other (local or corporate) VSIS.

The consolidated database of questions and answers is the common property of all participants of the WWIS PB.

Contacting VSIS PB and getting an answer is free for all users. Users can ask questions in Russian or English. The search is also conducted only on Russian- and English-language resources. All residents of Russia can use the services of VSIS PB, Russian-speaking foreign citizens are provided with information that is in one way or another related to Russia, or of a general educational nature. Questions concerning Russia are accepted in English.

There are also a number of restrictions for users:

1. Operators do not answer questions sent to Help by e-mail.

2. Only one request per visitor per day is accepted.

3. The number of questions received from one user during the month should not exceed eight. The administration reserves the right for individual users to change this number both downward and upward.

4. Coordinators have the right to delete incorrect questions and remarks and move questions to more appropriate rubrics.

5. Issues related to the provision of ready-made abstracts and essays are considered last.

The work of the service showed a high demand for the services provided by users from almost all Russian regions, as well as from other states interested in materials in Russian and topics related to Russia.

No less famous is the project "Interregional Analytical Painting of Articles" (MARS). The project has existed since 2001 and currently unites more than 200 libraries of various systems and departments not only in Russia, but also in Belarus, Kazakhstan and Ukraine. The project participants jointly create a Consolidated database containing a complete analytical description of 1601 journals. Each of the libraries participating in the project creates analytical bibliographic records for all articles from several journals according to the rules adopted in the project and in exchange receives the same records of all other participants. Most of the magazines signed are included in the list of the Higher Attestation Commission (Higher Attestation Commission). The annual replenishment of the consolidated database is more than 200,000 bibliographic records.

The user receives information in the form of a bibliographic record, which contains the following information: author, article title, personalities, information about the title, date and place of the conference, seminar or meeting, source name, article abstract, etc. The summary database does not contain the full texts of the articles.

“The main principles of the project are:

1. external openness while observing the internal technological processes adopted in libraries,

2. complete analytical painting of periodicals,

3. the use of minimal technical means when transmitting and receiving data ".

The real benefit of the joint creation and use of information resources is obvious:

1. Possibility in the shortest possible time to receive, upon request, the full texts of articles on EDD.

2. More than 60% of subscriptions to periodicals are disclosed using the corporate base.

3. Participation in the project allows you to get acquainted with the content of journals that the library does not subscribe to.

4. The user has the opportunity to get acquainted not only with the bibliographic description of the article, but also get a full annotation to it.

“Project “Corporate library system of universities in St. Petersburg and the North-West of Russia. New Horizons of Cooperation” was supported by the “Open Society Institute” in 1999. The aim of the project is to introduce the technology of corporate work in the libraries of St. Petersburg to create common shared information resources (unified electronic catalog, unified electronic library of university publications) and means of effective access to them via the Internet.

During the year, a working prototype of a distributed corporate library system was created, which combines the information resources of the libraries of several universities in St. Petersburg. These libraries had the status of the main participants of the project at the first stage of its implementation.

The created prototype has the following properties:

· The main component of the common information space is a consolidated electronic catalog, access to which is provided via HTTP protocols (through a special gateway) and Z39.50.

· Z - server provides simultaneous search and retrieval of records in various MARC formats.

· The system supports the mechanism of linking records in accordance with the RUSMARC format.

· On the basis of the Z-server, corporate services for ordering and e-delivery have been implemented. These services are available on-line.

· Workplaces for the electronic document delivery service using the Ariel system have been organized in libraries.

To create a consolidated electronic catalog, a model was chosen for storing local electronic catalogs in various databases with access to them through one Z - server, which is the original development of the Open Library Systems Center of St. Petersburg State Technical University.

For the reader, the resources of the consortium are available through the Z39.50 HTTP gateway, also developed by the Open Library Systems Center.

The consortium plans to continue its work on improving the organization of document processing and reader services in the future. In addition, the consortium plans to develop ties with other consortiums, to introduce into the daily practice of libraries close interaction with partners using a modern technological base.

In addition to the above projects, there are such non-traditional forms of cooperation for libraries, such as the global project for the digitization of book collections "Google Library" ( Google Library). It consists of a number of services. Book Search Service ( Google Book Search) Google is part of the company's efforts to organize the world's book information, making it accessible and useful to everyone.

Google respects the tremendous amount of creative effort that goes into books, so Book Search is designed to comply with all copyright laws. Google will never show more than a few snippets of text from a protected book without getting the publisher's permission, and directs the user to book purchases or libraries.

The Book Finder service consists of two distinct parts: the Partner program ( the Partner Program) and Library Project ( the Library Project).

The Partner Program works with over 10,000 Publishers around the world. Partners (usually publishers) donate their books for digitization and posting on the Web. Users are shown a very limited number of pages from the book that are relevant to their query. But this is enough to give a general idea of ​​its content. If the user is interested in what they see, they can go to the publisher's or online store's website and purchase the book.

Google scans these books for free and does not charge the user for a hint. In addition, if advertisements are placed below a page image from a book, more than half of the ad revenue is transferred to the book's publisher. The Library Project. Google works with libraries around the world, including; libraries of Oxford, Harvard, Stanford, Princeton universities, National Library of Catalonia, Bavarian State Library, Michigan State University, New York Public Library and many, many others; in addition, Google is piloting with the US Library of Congress. The company would like to work with libraries in as many countries as possible to ensure Book Search reflects the rich cultural diversity of world literature.

If a library book is in the public domain (outside of copyright protection), it is displayed in its entirety on the web. If the book is under copyright protection, the user on the Web will be able to see only the very basics: the title of the book and the last name of the author, no more than 2-3 fragments of text and information about the library where it is located, or about the store where you can buy it. If publishers or authors do not want their books to be digitized, all they need to do is let them know.

More than 10 million books have already been digitized and placed on the Internet as part of the Book Search program.

Today, when great specialists are needed in all areas of business, corporate libraries are becoming an effective tool for staff development. Keeping a constantly updated book fund is profitable. With its help, training costs are optimized: firstly, even a very small, but properly selected collection of publications is able to satisfy the basic needs of employees in obtaining information, and secondly, it becomes available to obtain knowledge on the spot, as they say, on the job.
